You send a quote to a new customer and never hear back. You assume they went cold. What actually happened: your email landed in their spam folder, and they never saw it. For a lot of South Florida businesses, this is happening every day, quietly costing them deals — and the fix is technical, cheap, and almost always ignored until something breaks.

The cause is usually missing email authentication. Here's what it is, why it now decides whether your email gets delivered, and how to fix it without breaking anything.

Why Your Legitimate Emails Get Filtered

Email providers like Gmail and Outlook assume every message is guilty until proven innocent. To decide whether your email reaches the inbox, they check whether it's genuinely from who it claims to be. If your domain can't prove that, your message gets throttled, filtered to spam, or rejected outright — even when it's a real invoice to a real customer.

What to do: Stop assuming silence means "not interested." If replies dropped off or customers say they never got your email, deliverability is the first thing to check.

SPF, DKIM, and DMARC in Plain English

Three records, published in your domain's DNS, prove your email is legitimate. SPF lists which servers are allowed to send email for your domain. DKIM adds a tamper-proof signature so receivers know the message wasn't altered. DMARC ties the two together and tells receivers what to do with mail that fails — and sends you reports on who's using your domain. Together they're the difference between "trusted sender" and "probably spam".

What to do: Check whether your domain has all three records. Most small businesses have SPF, a broken or missing DKIM, and no DMARC at all — which is the worst of both worlds.

The Sender Rules That Changed the Game

Google and Yahoo now require SPF, DKIM, and DMARC for anyone sending volume email, and enforcement has only tightened since. Miss them and your messages don't just look suspicious — they get blocked by policy. This isn't a best practice anymore; it's the entry fee for reaching an inbox.

What to do: Treat email authentication as mandatory infrastructure, not an optional upgrade. If you send newsletters, invoices, or any bulk mail, you're already subject to these rules.

What Happens If You Don't Fix It

Two things, both expensive. First, your real email underperforms — quotes, invoices, and campaigns land in spam, and you never know how many deals you lost. Second, an unprotected domain is an open invitation for spoofing: scammers send fake invoices and wire-transfer requests that look exactly like they came from you, damaging your reputation and exposing your customers to fraud.

What to do: If your domain has no DMARC policy, assume both risks are live right now — lost revenue and impersonation — and prioritize the fix.

How to Fix It Without Breaking Your Email

The catch is that setting these records wrong can block your own legitimate mail — your CRM, your invoicing tool, your marketing platform all send on your behalf and must be accounted for. Done right, you inventory every service that sends as your domain, publish correct SPF and DKIM, then roll out DMARC gradually from monitor-only to full enforcement while watching the reports.

What to do: Don't flip DMARC to enforcement on day one. Start in monitoring mode, confirm every legitimate sender passes, then tighten — and keep the reports somewhere you'll actually read them.
