Microsoft 365 Copilot in 2026: Is It Worth It for Small Teams?
An honest look at where Copilot saves real time for small businesses, and where the license cost is hard to justify.
Microsoft 365 Copilot has moved from novelty to a line item many small businesses are now deciding whether to fund. The marketing promises a lot. The reality is more nuanced, and whether it pays off depends heavily on how your team actually works. Here is our take after rolling it out with real clients.
Where It Genuinely Saves Time
Copilot shines at the tedious parts of knowledge work: summarizing long email threads, drafting first versions of documents, catching you up on a meeting you missed, and pulling answers out of files you cannot remember the name of. For teams that live in Outlook, Word, and Teams all day, those minutes add up quickly.
Where the Value Is Harder to Find
If your staff spend most of their day in other software rather than Office apps, the benefit shrinks. The license is priced per user per month on top of your existing subscription, so paying for occasional users rarely makes sense. The honest answer for many small teams is to license the handful of heavy document and email users, not everyone.
Set It Up to Respect Your Data
Copilot can only see what a user already has access to, which means messy file permissions become a real risk. If everyone can open everything, Copilot will happily surface sensitive information in a summary. Cleaning up sharing and access before you roll it out is part of doing this responsibly.
Used selectively, Copilot is a reasonable productivity investment for the right people. Rolled out blindly to every seat, it is an easy way to inflate your software bill. We can help you pilot it and decide who actually benefits.
